Our client is a fund manager specialising in not for profit institutions. They have approximately 100 staff and are based in the City of London.
The client's IT function had not been adequately managed and server numbers had increased beyond useful levels. ITD were engaged to audit the network, reduce the number of servers and optimise the performance of the remaining equipment. We were also able to virtualise some functions, leading to cost and space savings for the client.
The Challenge
Our client's IT function had not been properly managed for a number of years and the number of servers had escalated to an unacceptable level. This led to increased IT costs, unused servers and significant downtime.
Our Approach
• First, we agreed the detailed scope of the project with the client and carried out an audit of the servers, network, infrastructure and applications. We identified a number of redundant systems and applications, which were no longer needed. Having obtained the agreement of the client, we retired the unused applications. This led to an immediate saving in software maintenance costs.
• We identified that the test environment was excessive for our client’s needs and that savings could be made from a revised environment.
• We reviewed the technical specification of the hardware to identify which servers could be retired, which needed to be replaced and which were fit for purpose.
• We also considered virtualisation options and, using VMware, were able to virtualise a number of servers.
• Working closely with the client, we also identified and cleared redundant data.
• We procured, commissioned and configured the new servers.
• With all the changes, the backup strategy had to be revised. We produced an updated backup strategy and a disaster recovery plan designed around the new equipment and software.
• We developed a comprehensive migration plan for the new equipment. We were able to carry out this work over the weekend in order to keep downtime to an absolute minimum.
The Results
ITD reduced our client’s server estate by 70% and reduced the cost of IT staff.
The new setup is easier to manage and has more uptime.
